Stallholder Terms and Conditions

  1. Eligibility and Application

    • Eligibility: Stallholders must be local artisans, crafters, or vendors offering products in line with the theme of the event (e.g., Christmas, holiday gifts).
  1. Stall Fees and Payment

    • Approval: Stall spaces are limited and allocated based on the organizer's approval. The organizer's decision is final.
    • Fee Structure: A non-refundable stall fee is required to secure a stall. 
    • Payment Deadline: Payment is made on a[pplication.
    • Refusal: BCC reserve the right to refuse and refund any bookings.
  2. Stall Setup and Operation

    • Setup Times: Stallholders may set up between 8am and 2pm on the event day. Stalls must be fully operational by 3pm.
    • Pack-Down Times: Pack-down is allowed only after the event closes at 8pm.
    • Stall Size: Stall size will be specified in advance (e.g., 3x3 meters). Vendors must stay within their allocated space. Fees may apply.
    • Power and Lighting: Stallholders must request access to power at the time of application. Every effort will be made to supply power, but will not always be available- especially to late bookers
    • Your site will need to be cleared of all goods and rubbish all moved to the bin area before leaving.
  1. Products and Sales

    • Prohibited Items: The sale of certain items, such as alcohol, counterfeit goods, or inappropriate merchandise, is strictly prohibited.
    • Food Vendors: Food vendors must comply with health and safety regulations, including obtaining the necessary permits (e.g., food handling certificates).
  1. Health and Safety

    • OHS: Stallholders must comply with all directions from the venue staff and adhere to policy and proceedure
    • Fire Safety: Stallholders must ensure that all electrical equipment is tagged and tested in accordance with local safety regulations. please make yourself familiar with the evacuation procedure and the locations of emergency exits.
  1. Cancellations and Refunds

    • Stallholder Cancellations: If a stallholder cancels their booking, the stall fee is non-refundable.
    • Event Cancellation: If the event is canceled due to unforeseen circumstances (e.g., weather, public health concerns), stallholders will be entitled to a refund.
  1. Liability and Indemnity

    • Organiser Liability: The event organizers are not liable for any loss, theft, or damage to stallholder property.
    • Indemnity: Stallholders agree to indemnify the organizers against any claims or damage arising from their participation in the event.
  1. Event Promotion

    • Marketing: Stallholders grant the event organizers the right to use images of their stalls and products for promotional purposes.
    • Social Media: Stallholders are encouraged to promote the event via their own social media channels using the event hashtag. Broome Civic centre must be tagged in all social media.
  1. Sustainability

    • Waste Management: Stallholders are responsible for the removal of their own waste. The use of plastic bags is discouraged, and eco-friendly packaging is encouraged. Most Single use plastic is banned for use in Australia.
    • Environmentally Friendly Products: Preference will be given to stallholders who provide sustainable, locally-sourced, and environmentally friendly products.
  1. Dispute Resolution

    • Any disputes arising from participation in the event will be managed through discussion with the event organizers.
